How brands creatively hosted virtual outbound meetings

As the world continues to move toward the remote control, it’s important to consider how to make your company’s personal events remotely friendly.

Even if you don’t always do remote events, the remote is great whenever your team is spread around the world.

What about a virtual meeting outside the location? Sounds oxymoronic. How would you get practically outside of a location that doesn’t seem like a job?

In this post, we delve deeper into how these brands creatively thought of virtual websites. And didn’t just ask everyone to be in Zoom for 8 hours.

1. Loom VR Virtual Offsite

At the end of 2020, Loom decided to organize a virtual outsourcing. How was this different from attending an 8-hour zoom meeting?

Well, first, the company sent VR headsets to its team so employees could feel like they were leaving home for a large company meeting they had traveled to in the past.

Once they started with virtual reality, they had to find virtual reality applications to organize their events. However, they also involved their employees in the planning process. Together with his partner, Loom created a virtual reality island where team members could chat with an icebreaker, have icebreakers and have a happy hour.

Interestingly, the virtual reality component was not mandatory. All events that were exclusive to VR were selective. And the VR island they created was also accessible via a desktop, so everyone could participate.

It is important to remember that when you create a virtual external environment, you want everyone to be able to show themselves. Hopefully, the tools you use are available on multiple devices, or you can make these events mandatory if you need a special device.

The team also created unstructured time during the day so that people working from home could still do their normal work and activities.

Another company that thinks creatively about virtual offerings is a first-round overview.

The first round of the survey organized a virtual outside and they had activities including group meals, cooking competitions, self-reflection exercises, group presentations, non-conference events, and more.

The company knew that they wanted to use all sorts of different formats in their operations to keep people’s attention.

Before planning the event, they wrote down their goals, dividing them into task-oriented and team-oriented results. They then came up with ideas to achieve these results.

Again, the first round review knew they didn’t want to spend the whole day in Zoom. Some of the things they did to make their virtual outside interactive and successful were:

  • Send an interactive surprise: The team sent everyone a set that they were told not to open beforehand. The set included a candy, a writing board, coffee and a kombucha starter kit. It was a fun way to hit the virtual outside.
  • Receiving the costume: All the special hats were sent to the team and everyone appeared at the meeting wearing their own goods.
  • Cooking Challenge: The groups were divided into rest rooms so that each group could cook directly together. Then everyone presented their meal together and people voted for creativity and presentation.
  • Unstructured time: it’s huge. Don’t make people spend all day at the computer. Add unstructured time and pauses.
  • Playtime: Add team tying events like trivia or virtual escape rooms. The first round review even hired a magician to join them at the group dinner.
  • Show Gratitude: The first round of review spent an entire meeting where everyone wrote a thank you note for each team member and then emailed a list of comments from all their co-workers. For each teammate, they all needed to spend one minute answering, writing a line or two to answer the following questions: What do you admire about this person? What did this person do recently and what do you appreciate? Why are you grateful to consider this person a teammate? The answers are anonymous. When they’re all in, the meeting owner rounds each person’s lines and shares them with a private email.

One of the biggest techniques with this virtual site is that you can have multiple formats, different sessions, interactive and engaging content, and you can still work during strategy sessions.

3. Wikimedia product team virtual outside

The Wikimedia Foundation product team also organized productive virtual strategy sessions and meaningful teamwork in remote environments in different time zones.

It took a lot of planning to achieve this. The team first decided what story they wanted to tell on their exterior. To ensure it was discussed throughout the virtual off-site, they looked at their product roadmap to understand where the team had been and where they were heading. On the first day, they organized a retrospective to achieve this.

Ultimately, the agenda and planning was a creative way for the company to think outside the location.

When a presentation or low-energy session took place, they wanted to make sure that it was followed by an interactive, high-engagement session.

In addition, timing was important. They decided that instead of 8-hour zoom meetings, they would have four hours of virtual sessions a day, divided into 2-hour sections, with a break of about 1.5-2 hours.

Outside included low-energy sessions, including questions and answers with the product manager, where they prepared questions and used a thirty-minute window to complete their questions. But these sessions were followed by interactive activities.

In one session, team members had even created a website for newcomers based on the previous features of the product team. This made the team actively work on the tool so they could see what features stood out.

They also had a session with a specialist, which was a step-by-step process in the Wikipedia editing process for staff to understand the user experience.

Other fun sessions included friendly online games.

When planning a virtual outside, it is important to consider the timing and energy level of the event. Spending a video conferencing tool is not effective for most people.

Hosting a virtual external host does not have to be too complicated a process. And it doesn’t have to be a boring, 8-hour Zoom meeting. You can organize interactive sessions, presentations and really communicate with your employees.
